    What are validation rules and what rules has RWE put in place on Tradeshift?

    Validation rules ensure that the vendor provides information in all the required fields. RWE can then process the invoice accurately and efficiently without any unnecessary queries or delay. Validation rules are a way of enforcing compliance which benefits both the vendor and RWE.


    What validation rules has RWE put in place on Tradeshift?

    The following information is mandatory for all invoices:

    • Vendor name
    • Vendor address
    • Vendor eMail address
    • Vendor VAT registration number
    • Invoice date
    • Invoice number
    • Value excluding VAT
    • Total VAT value
    • Total invoice value
    • Currency
    • An original Invoice should be attached (if one exists)
    • Negative amounts are not allowed on invoices and credit notes on header level
    • For all Vendors, it is mandatory to include bank details on the invoice
    • For Purchase Order Vendors - All invoices must include the purchase order number included on your original purchase order
    • A contract number can be added optionally 
    • For non-Purchase Order vendors - A cost centre reference or name
    • For non-Purchase Order vendors - Due date is mandatory on all invoices

    

    Important note for all suppliers

    The payment due date will be calculated in accordance with the payment terms in our contract or purchase order as agreed with the Procurement department.


    In addition to these validation rules, please note that if you plan to send invoices and credit notes automatically from your ERP system, there are a range of mandatory fields you would need to adhere to.
